Help Harbord P&C make a difference
Are you passionate about supporting our school community, connecting with other parents, and making a real impact for our kids and community? The Harbord Public School P&C Association is seeking enthusiastic volunteer leaders for three key roles: Fundraising & Events, Uniform Chair and Secretary. These roles are vital in helping us deliver services and events that enrich the lives of our kids, support families and build our community.
Why volunteer with us?
- The P&C is one of the largest parent-volunteer organisations of its kind in NSW, managing the Uniform Shop, Canteen, OOSH, Band and major events, and contributing significant funds back into the school.

- Flexible commitment: we understand parents and carers are busy. These roles are structured to support your schedule, and many tasks can be managed remotely or in short bursts.

Available Roles:
- Fundraising & Events Chair – Lead our fundraising activities and community events calendar.
- Uniform Chair – Oversee our Uniform Shop operations.
- Secretary – Manage administrative functions, governance and communications.
What we’re looking for:
- Commitment to the P&C mission: fostering a collaborative and supportive school environment for the benefit of students, staff and community.
- A willingness to volunteer time, contribute ideas and collaborate with other parent-leaders and the school.
- Skills/talents applicable to each role (see role descriptions above).
- Reliable communication, organisational ability and a sense of responsibility.

Time-frame:
Our next Committee meetings are on Tuesday 18 November and 16 December; new role-holders will be welcomed at the next meeting and supported by the outgoing Chair/team.

Fundraising & Events Chair
Purpose of role:
To lead the planning, coordination and execution of the P&C’s fundraising and community engagement events, ensuring these activities raise crucial funds for the school, build community spirit, and support the P&C’s mission of enhancing the student experience at Harbord Public School.
Key responsibilities:
- Leverage an annual fundraising, sponsorship & events calendar aligned with the P&C mission and school priorities.
- Manage a volunteer events team (recruit, coordinate, delegate to sub-committees).
- Identify, liaise and manage sponsors, partners and vendors (eg: local businesses) for events and fundraising campaigns.
- Oversee budgeting and financial reporting for events: cost-benefit analysis, ensuring funds raised net back to the school.
- Work with the P&C Secretary and Communications lead to promote events (emails, school newsletters, social media) and drive volunteer sign-up.
- Attend monthly P&C Committee meetings; provide updates on event/fundraising progress.
Time commitment & skills:
- Approximate time commitment: ~2 hours per month (higher in lead-up to major events; less in quieter periods).
- Ability to organise and lead events or campaigns (volunteer or professional).
- Strong interpersonal skills; confident in working with a broad range of stakeholders (parents, school staff, vendors, students).
- Budget and financial literacy (monitoring income/expenditure).
- Creative thinker: able to generate fresh ideas to engage the school community.
- Comfortable recruiting and managing volunteers, working collaboratively and delegating tasks.
- Willingness to follow and uphold governance, safety and volunteer protocols.
- Enthusiastic about community building and supporting student outcomes.

Uniform Chair
Purpose of role:
To oversee the P&C’s Uniform Shop operations so that the Uniform Shop supports the school community effectively, is financially sustainable and contributes to the P&C’s broader objectives of supporting students, parents and teachers. The P&C website notes the Uniform Shop is one of the major services run by volunteers under the P&C umbrella.
Key responsibilities:
- Manage the Uniform Shop staff.
- Work with the Treasurer to monitor shop finances: revenue, costs, margin, prepare annual budget and ensure funds are returned to the school/P&C mission.
- Ensure the Uniform Shop operates smoothly to meet school community needs: opening hours, communication to parents, clear signage, online ordering (if applicable).
- Report to P&C monthly: revenue vs budget, trends, issues/risks.
- Identify and implement improvements to the Uniform Shop (for example, sustainability initiatives, better parent-communication, “pre-loved” uniform options, etc).
- Liaise with the school’s leadership and P&C on uniform policy matters (fits, sizing, transitions, parent feedback).
- Attend P&C meetings and contribute insights around uniform-shop performance and community feedback.
Time commitment & skills:
- Approximate time commitment: ~2 hours per month during term time (with extra effort at uniform-change periods, e.g., new term, new sizes, etc).
- Experience in retail, stock management, volunteer coordination is a plus (but not required – training/support available).
- Good organisational and procedural skills.
- Strong communication skills; friendly and responsive to parent enquiries.
- Comfortable with financial monitoring and reporting.
- Interest in school community, and understanding of the importance of the Uniform Shop to both families and the P&C’s ability to fund other initiatives.

Secretary
Purpose of role:
To manage the administrative, governance and communication functions of the P&C Committee, ensuring compliant, efficient, transparent and smooth operations.
Key responsibilities:
- Prepare agendas for monthly P&C Committee meetings (4th Tuesday of each month in term time, usually on Zoom).
- Distribute minutes of P&C meetings; ensure accurate record of motions, decisions, actions and due dates.
- Maintain the P&C’s records: membership register, attendance, correspondence.
- Receive and distribute incoming correspondence; manage outgoing letters/emails as appropriate.
- Ensure governance compliance: monitor that motions and resolutions meet required thresholds.
- Work with Treasurer and Executive on required compliance: incorporation reporting, insurance renewals, audits, volunteer policies, delegations etc.
- Ensure member registration is up-to-date and maintain database of members.
- Ensure that meeting materials, reports and proposals are circulated in advance of meetings.
- Act as point of contact for general P&C queries
- Attend monthly P&C Committee meetings
Time commitment & skills:
- Approximate time commitment: ~2-3 hours per month
- Strong organisational and administrative skills; attention to detail.
- Comfortable managing correspondence, working with standard office tools
- Good communication and interpersonal skills
- A sense of confidentiality, governance awareness and commitment to the P&C
